When you use our coaching services, we will process your personal data. This privacy policy was created to inform you about how we handle your personal data.

Provision of personal data

If you decide to use our services, we will need some of your personal data in order to work with you. We could gain these data in several ways, like during a conversation, via our website, email, telephone or via other means. We might also receive your personal data from a third party in the context of a coaching programme.

Capilla processes the following categories of personal data:

• Name and address
• Contact information, such as e-mail address and telephone numbers
• Sex and date of birth
• Training objectives, conversation reports
• All communication between you and Capilla
• Test results

Purposes of personal data

Capilla processes personal data for various purposes, such as:

• Maintaining contact;
• Offering an individual coaching programme;
• Good and efficient service, now and in the future;
• Client file management and invoicing;
• Administrative tasks, such as planning;
• Compliance with legal obligations and / or use during litigation.

Reasoning behind the processing of your data 

We will process your personal data in order to execute the coaching programmes that we have agreed on, or comply with legal obligations such as, for example, those dictated by tax law.

Providing data to third parties

In the context of our services, personal data may be provided to third parties for the purposes mentioned above. These third parties may be accountants, IT suppliers, Management Drives or other test agencies, or other third parties involved in a coaching programme.

These third parties may only process your personal data for the aforementioned purposes that are also relevant to their services.

Your personal data could also be provided in the context of a legal obligation or court order.

We will not share your details with commercial parties or charities.

Transfer of your data outside the EEA

Your personal data may be stored outside the EEA by our cloud provider. The EEA is the European Economic Area, consisting of the countries of the European Union, Liechtenstein, Norway and Iceland. 

In addition, your data may be stored by third parties outside the EU when using Google mail, Whatsapp, LinkedIn or Facebook. These parties are obliged to comply with European privacy regulations.

How long do we store your data?

Your personal data will not be kept on file longer than necessary for the purposes mentioned in this privacy statement. They will only be retained for as long as necessary to achieve the relevant goals.

Certain data must be retained for a longer period of time. This is due to legal retention obligations, such as the fiscal retention obligation, and/or because we must be able to prove to NOBCO (Nederlandse orde van beroepscoaches, in English: the Dutch order of professional coaches) the hours spent coaching.

How we secure your data

The security of your personal data matters to us; we want to protect it from loss or unauthorized access. In order to do this, we have taken appropriate security measures such as proper passwords, 2 step verification, an SSL certificate on the Capilla website and Capilla e-mail.


On the Capilla website, cookies are not actively used to analyse your behaviour.

Your rights

You have the right to request a review of your personal data. If you request such a review, you will receive an overview of your personal data within 1 month. If it contains any inaccuracies, you can request adjustment, supplementation, deletion or shielding of your data.

You can also request a transfer of your personal data. You may also object to the processing of your personal data due to special personal circumstances.
